Online Only Gift Codes

For stores not currently using Givex as their gift card provider, we now have an automated gift code feature that is fully integrated with your IndieCommerce site!  These codes can be used on books, as well as any custom products your store has created. Gift codes are NOT compatible with Kobo eBooks.

Section 1: Creating the Online Gift Code product on your site.

A. Email staff@bookweb.org, and request activation.

B. Once the module has been enabled, go to Content Management > Create Content > Online Only Gift Code.
   1.  Add the title & description of your choice, and scroll to the Product Information section.
   2. You can assign any SKU to the product, but the sell price must be $10.00, and 'Product and its derivatives are shippable' must NOT be checked.
 
   3.  Save the changes, and your product will be created.  All of the product attributes have been configured, and if you would like to add more denominations, please see this document {to come}.

C.  Once the product has been created, be sure to make the product page easily accessible to your customers. Some suggested methods for doing so are adding the SKU to a booklist, listing the page in a menu, and creating a block that links to the page.

Section 2: Selling Gift Codes on your site

A.  Automated purchase on website.
When a customer adds the gift card to their cart and completes checkout, they must include a valid recipient email address.  Once a site administrator marks the order 'Completed,' the system will then send the recipient their gift code.

B.  A staff member creates a gift code on behalf of the customer.
   1.  Go to Store Administration > Configuration > Online Only Gift Code > Create/Adjust/Balance
   2.  Click 'Create and email an Online Only Gift Code' to expand the field. Enter the email address, amount, and message to the recipient.
   3.  When you click the 'Create' button, you will see a confirmation message  Gift Code __________has been emailed to ____________.

C. Bulk generation of gift codes.
   1. Go to Store Administration > Configuration > Online Only Gift Code > Create/Adjust/Balance
   2. Click 'Create Bulk Online Gift Codes.' Enter the number of gift codes you need and the value of each card, then click 'Create.'
   3. The site will the bring you to a list of codes that were generated.  If you ever need to return to this page, click the View tab, then the Bulk tab.
       There are a few different options from here:
        a.  Assign a code directly to a customer.
        b.  Download a CSV file of all of the bulk codes available. This is helpful to keep track of which codes are sold, and you have the option to add other columns in Excel (or Open Office, Numbers etc.)
        c. Take the codes, and print out your own certificates to sell in the store.


 

Section 3: Redemption of Online Gift Codes

After a customer receives their code, they can navigate to your site and start shopping.  The code can be used to purchase books and any custom products created on your site. Gift codes can not be used on Kobo eBooks, or to purchase another gift code. 

When your customer is on the Checkout page, they should select 'Online Only Gift Code' as their payment method, and then click the link that reads 'Check your balance to continue.'

 
-  This is not to be confused with the field to enter a coupon code.
-  If the amount of the gift code does not cover the entire purchase, the customer will be prompted to select another method of payment to cover the balance.
- A customer may use up to two gift codes to complete their purchase.
 

Section 4: Managing Gift Codes

A. Check the balance of a gift code.  
   1.  CUSTOMER: Go to www.yoursite.com/onlinegc/balance,
        ADMIN: Go to Store Administration > Configuration > Online Only Gift Code > Create/Adjust/Balance
   2.  Click 'Balance check/Transaction history,' enter the gift code number, and click 'Balance.'  The page will refresh with a message that reads: "Balance on Gift code _______________ is $_______."
   3.  You can also check the history of the code number by clicking on 'Transaction History.'  The system will pull up a page with all pertinent information associated with the number:
 

B. Viewing all active gift codes.
Go to Store Administration > Configuration > Online Only Gift Code > View
You can then select from three different lists: Store (emailed by store), Order (purchased by customer) or Bulk (generated by store).  This screen helps keep track of all gift codes, their remaining balances, when they were created, and the emails associated with the order.
* You can also cancel a code from this page if needed.
 

Section 5: Making adjustments to your gift code

A. Before making adjustments to a gift code, check the balance to make sure that you have the correct information.
B. Go to Store Administration > Configuration > Online Only Gift Code > Create/Adjust/Balance. Click 'Adjust amount on existing code.'  You can then either add or subtract funds from the code.
   1. ADD
      a. If a customer returns part of an order purchased with a gift code, you can return the funds to the original code.  Enter their gift code number, the amount of the return, and any comments detailing the reason for the credit, and click 'Add.'
You will receive a verification message that reads: "$ _____ was successfully added to ___________________. The new balance on Gift code ___________________ is $_____."
      b. If you need to refund an entire purchase, and the order still is marked 'Payment Received,' change the order status to 'Canceled.'  The balance will be adjusted and the transaction history will reflect this credit. If an order has already been marked 'Completed,' contact staff@bookweb.org, and we will cancel the order for you.

   2. SUBTRACT
While these codes are intended for use online, if you so chose, they can also be redeemed in store--if you have access to your site at the counter.  
Simply enter the customer's gift code, the amount purchased, detailed comments, and click subtract.  
This must be done at time of purchase, to ensure that the code has enough funds to cover the amount of the in-store purchase.
 
You will receive a verification message that reads: "$ _____ was successfully subtracted from ___________________. The new balance on Gift code ___________________ is $_____."
 

Section 6: Customizing Notifications

If you would like to adjust the wording of the notifications, go to Store Administration > Configuration > Online Only Gift Code > Settings.

Here you can modify the subject of the outgoing email to the recipient, the message that appears after a customer purchases a gift code, and the confirmation email that is sent to the purchaser of the code.  At this time, only the subject line of the message sent to the recipient is configurable.

In order to modify the message, you should be familiar with the concept of Replacement Patterns.  Basically, there are different tokens surrounded by [brackets] that signify different elements in the message.  There is a glossary of tokens located on the page.
