Sending Pre-Orders to Ingram

It is now possible to send orders containing a pre-order title directly to Ingram for fulfillment.  Please find more details and conditions below:

Benefits of sending a Pre-Order to Ingram

  • Ingram will ship the title a day before release to ensure that the customer receives their item quickly.
  • Once the Send Pre-order to Ingram button is clicked, no further action is required by your store.

Requirements for Sending a Pre-Order to Ingram

  • ABA has not disabled pre-orders to Ingram.
  • Only one Coming Soon title in the order.
  • Publication date must be within 105 days of release.
  • Can NOT contain other ISBNs, even if they are also pre-orders.
  • Can contain multiple copies of the same book.
  • Meets all the conditions for wholesaler fulfillment on this page with the exception of the following items:
    • Ship as available can be selected at order checkout.
    • Order comments can be used.
    • The order can be tax exempt.

How it Works

If an eligible pre-order is placed through the system, a "Send Pre-Order to Ingram" button will appear on the main order page.

If you choose to send the order to Ingram for fulfillment, simply click the button.  This will charge the customer's credit card, and send to order to Ingram.  In order to ensure that the customer's card is still valid, we are required to charge the card before triggering the automated fulfillment process.

You will also receive an admin comment confirming that the item was sent:

Ex: Pre-order manually marked for wholesaler fulfillment by admin. Cancellation date - 2013/02/01

At this point, no further action is required by your store. Ingram will process and ship the order, and earnings and financial information will be displayed on your next money management report.

Special Cases

Creating a Pre-Order for a Customer

If a customer has previously purchased with a credit card on your site, it is possible to create an order on behalf of the customer.

VERY IMPORTANT: Only perform steps 1-11, if you mark the order completed, you will not be able to send the order to Ingram for fulfillment.

After you finish step 11, instead of marking the order completed, click the 'Send Pre-Order to Ingram' button.

Mixed Carts

If an order contains readily available books, as well as a pre-order, and you would like to send the items to Ingram for fulfillment, remove the pre-order title from the customer's order.  Then, create a new order for the coming soon title.  If the other books meet the requirements for Ingram fulfillment, the 'Send to Wholesaler' button will appear on the original order, and you will have a 'Send Pre-Order to Ingram' button on the admin created pre-order.

Cancellations

If you would like to cancel a pre-order, please email staff@bookweb.org prior to the cancellation date indicated on the admin comment.  We will then contact Ingram on your behalf, and issue a credit to the customer's card.

Unable to Fulfill

In rare cases, it is possible that Ingram may cancel a pre-order request.  In this case, the order will be moved to Payment Received.  If you cannot fulfill the order directly, marking the order canceled will reverse the charge on the customer's credit card.
