Payment Processing Overview
What is an Authorization?
- When an order is submitted on your site, a hold is placed on the customer's credit card. It is not physically charged until the order is marked Completed or Payment received.
- Authorizations expire after a few weeks. If you are waiting for a pre-order, or an event, change the order status to Payment received to charge the card within 2 weeks of purchase.
- Outstanding authorizations can confuse customers, and if a second authorization is required, some customers may think they are being charged twice.
Stored CIM Feature
- Authorize.net securely stores credit card data for your site, and you can use credit card references to create new orders with your customer's encrypted credit card information. With the new CIM (Customer Information Manager) feature, that reference is now used behind the scenes when your customer is logged into their account.
- When a customer makes a purchase on your site with the new CIM feature, they will not have to re-enter their credit card information, unless they have a new card or their card has expired.
- If your site was created in 2012 or later, this feature is already active on your site. If you have not already switched, in order to enable the module, your order queue must be cleared of all credit card orders.
PayPal
- It's a great way to accept international payments on your website.
- Accounts can be created here. When registration is complete, contact staff@bookweb.org with the email address used to create the account.
- The transaction will have to be handed on their interface. PayPal payments cannot be collected by marking the order status Completed.
- PayPal cannot be used to purchase eBooks, or on orders sent to Ingram.
Refunds

If an order is in Pending or Processing, and a title needs to be removed from an order, or the entire needs cancellation, this can be done with store administrator access.
- If the order need to be adjusted, remove the title on the edit page, recalculate shipping, and complete the order as if nothing was changed. (The customer will only be charged the new lower amount.)
- If the entire order is to be canceled, simply change the order status to Canceled.

If a credit card order is in Payment Received or Completed and needs to be refunded, email staff@bookweb.org with the order number, and amount to be refunded.
- If you are operating on your own Authorize.net account, you will need to refund directly on their interface.
- If it is a payment method other than credit card (Pay Pal, gift card, etc.), the refund will need to be handled outside of your IndieCommerce site.
Opening Your Own Authorize.net Account
- Is it a good move for my store? Find a full list of reasons to switch here. If you are making over $1000/month in sales, it is more affordable to move to your own account.
- Where do I get started? This page has important information about Authorize.net. If you are ready to begin the process, contact chanthee@bookweb.org.
- Once you have moved to your own account, make sure a trusted employee who handles orders on the website has a login ID for Authorize.net. They will need it if a customer needs to be refunded.
Gift Cards

Givex gift cards- These cards are fully integrated with your IndieCommerce site. Funds will automatically deduct from the card when a purchase is made.
- ABA has an agreement with Givex that offers member stores a discounted rate. To review the agreement, click here.
- Up to 2 gift certificates can be used on one order, and a credit card can be collected for a remaining balance.
- Store Gift Certificate- The balance must be checked manually by the store. If the gift certificate does not cover the full amount of the order, you will have to contact the customer, and take credit card payment over the phone.
- Online only gift code- These are emailed codes that will automatically redeem on your website. Find more information here.

Helpful Tips
- Leave order comments and move orders to Processing when action has been taken.
- Custom order statuses can be created. This is especially helpful for stores with multiple outlets.
