Bookmarks Volunteer and Office Specialist

This part-time position will report to the Executive Director, providing logistical and administrative support, and serving as the first and main contact for volunteers and scheduling.

Volunteers - Coordinate, oversee and schedule volunteers and volunteer tasks, volunteer appreciation, and volunteer records including performing background checks, scheduling and leading new volunteer meetings, Square trainings, and seeking new and diverse volunteers and groups for volunteer needs throughout the year (including our annual Festival and weekly events). Maintain and update it with new volunteer needs daily, filling in slots, securing volunteers, and sharing details about volunteering. This will require looking for volunteers to take a shift if it is open and sending regular volunteer newsletters with our needs detailed.

Office - Provide logistical and administrative support for the Directors including: record keeping and data entry; developing and maintaining an inventory of office supplies and equipment; purchasing supplies regularly; tracking donations; and helping with author and sponsor contracts. This position will also assist with special projects or meetings, soliciting food and other donations; taking RSVPs for events, book clubs, etc. with other duties as needed.


  • Education equivalent to the completion of two years of college; Bachelor’s degree preferred.
  • Minimum three years of office administrative support
  • Excellent organizational skills (oral and written), ability to excel at details and work without immediate and constant supervision
  • Experienced and skilled in the use of software programs i.e., Microsoft Word and Excel, along with other related programs

Work Hours - Daytime hours between 9:30 a.m. and 5 p.m. with set schedule of at least four days a week for 15-18 hours/week. Occasional evening meetings for special volunteer and program trainings. Possible opportunities for expanded hours during peak times.

Salary - The salary for this position will be based on qualifications and experience.
