Winter Institute 10 registrants who need to cancel or make changes to their reservations at the Grove Park Inn or the Renaissance Asheville Hotel should contact their respective hotels as soon as possible. The American Booksellers Association no longer needs to be notified of changes to reservations at the Grove Park Inn; however, booksellers who will no longer be attending the Winter Institute are asked to notify ABA.

To avoid hotel penalties, reservation holders should be aware of the policies outlined below.

Grove Park Inn Cancellation Policy

If you are unable to honor your lodging reservations, cancel by 4:00 p.m. at least seven days prior to your 4:00 p.m. check-in time in order to avoid forfeiting your room deposit. If you reduce your length of stay within seven days of your scheduled arrival, you will be responsible for a full night’s room and tax. If you are booked over a minimum night requirement or holiday package and elect to depart prior to your scheduled departure date, you will be charged the full length of your reservation. Spa reservations and golf tee times must be canceled 24 hours in advance to avoid penalty.

Grove Park Inn Early Departure

There will be an early departure charge of one night’s room rate and tax should you check out prior to your scheduled departure date.

Renaissance Asheville Hotel Cancellation Policy

Cancellations made within 24 hours of check-in time will be charged a full night’s room and tax.  There is no penalty for early departure; however, the hotel asks to be notified as soon as possible.
